Major Job Responsibilities
MJR #1 – Administrative Support 30%
Provides a broad range of administrative support to both Student Services and the Recruitment office to include:
- Routine correspondence (emails/letters/phone calls
- Event planning and liaison with various units within the college, university and external constituencies
- Completes and routes internal paperwork for financial transactions, tracks expenditures and performs monthly account reconciliations for the Student Services and Recruitment cost centers
- Support for internal reservation calendar for Pence, Miller, Funkhouser and Bowman Hall classrooms

MJR #2 – Recruitment Support 25%
- Schedules tours for prospective students
- Disseminates program information to prospective students
- Acts as liaison between the Director of Recruitment, CoD Student Ambassadors and involved faculty & staff
- Assists the Director of Recruitment with the communication plan, including student tracking
- Assists with planning/implementing open houses & other recruitment events as needed
- Assists with Student Ambassador training

MJR #3 – Admissions and Enrollment Support 25%
- Provides administrative support to the Admissions Committees
- Distributes Admissions letters & forms as directed by the Director of Student Services
- Assists Recruitment Director in tracking enrollment numbers
- Communicates with applicants, responds to emails, phone calls, and personal visits regarding application status
- Maintains contact with new students to help facilitate transition from acceptance of offer to admission
- Compiles application information for consideration by the Admissions Committee of each school
- Updates status of applications in SlideRoom
- Maintains admissions files and correspondence as well as acceptance /denial letters and forms

MJR #4 – Course and Student Data Management 10%
- Informs Student Services regarding any courses and course changes in Curriculog
- Uses tableau, SAP, Hobson’s, SlideRoom, Apply Yourself and other databases to query, track and report student data for Student Services and Recruitment, and to address administrative requirements
- Builds all courses in SAP for ARC, ID, and HP for fall, winter intersession, spring, and summer, including assigning rooms, instructors, days/times and prerequisites
- Works with directors and chair’s assistant to inform Student Services regarding course schedule and forecasting of course offerings
- Monitors course enrollments daily, consulting with Director of Student Services and directors & chair to make needed adjustments, including more course capacity, adding additional sections, etc.
- Assigns advisors in SAP

MJR#5 – Program Support 10%
- Submits and creates “pink sheet” changes through to Registrar’s Office
- Manages all aspects of teaching evaluations to include briefing new faculty on the process, confirming accuracy of the data, corrections and distribution of results
- Assists with Commencement
- Assists Student Services with Change of Major, Repeat Option, Independent Study, Post-Midterm Withdrawal, Retroactive Withdrawal and other forms
- Maintains student files, including archiving
- Assists each academic program with student career development, workshop programming and scheduling
- Assists Staff Coordinator as needed with college-wide events, and provides backup to other assistants/administrative tasks as need
